Position Requirements
Provide full range of business operations support to Program Manager of 100M defense contract. Perform all administrative functions in support of 30 to 50 engineers permanently located around the world. Ensure administrative processes are completed to meet deadlines. Using MS Outlook, maintain calendars, establish and update comprehensive employee contact data, and schedule meetings and conferences. Create and maintain spreadsheets and smooth correspondence. Process and track travel and business expense claims, training requests, appraisals, and all other personnel-related documentation. Initiate and coordinate shipments of household effects to overseas locations in support of new employees and coordinate transition to site. Function as single corporate point of contact for all personnel-related issues. Assist the Program Manager in hiring process and indoctrination of new personnel. Interact via e-mail and telephone on a daily basis with personnel overseas to ensure compliance with company business processes. Interact on a daily basis with corporate headquarters personnel in Reston, VA. Route correspondence, forms, and documentation to appropriate corporate action officers. Assist in creating—and track—task orders, cost estimates, work breakdown structures, and purchase orders. Use Deltek Costpoint project accounting system to track and forecast expenditures of funds and notify Program Manager of potential funding shortfalls. Maintain budget. Respond to data calls from customers. Review electronic timesheets and take action to ensure correct timesheets are submitted on time for signature of Program Manager. Produce smooth 25-30 page monthly financial and operational status report for signature of Program Manager.
Qualifications
10 years of experience. Flexible, personable, service-oriented, people person. Experienced with SPAWAR Charleston contract process, task orders, work breakdown schedules, cost estimates, etc. Detail oriented. Expert in MS Office applications, especially Outlook, Excel, Word, and Power Point. Expert in using and maintaining address lists, calendars, and other capabilities of MS Outlook. Familiar with Electronic Timesheet, Deltek Costpoint project management system, and capable of using and leveraging a wide range of corporate enterprise IT tools to be effective in a virtual work environment. Excellent communications skills, writing and oral. Bachelor’s degree desired, but not required. Familiarity with contract proposal process, Privia, Cognos planner a plus.
